Job Description: 

Summary:
Manages orders for merchandise received by mail, telephone, fax, E-mail or personally from customer or company employee by performing the following duties.

Essential Job Duties:
• Edits orders received for price and nomenclature.
• Ensures timely and accurate communication with customers including answering customer inquiries, addressing concerns and offering optimal logistic solutions.
• Informs customer of unit prices, shipping date, anticipated delays, and any additional information needed by customer.
• Writes or types order form, or enters data into computer, to determine total cost for customer.
• Prints shipment documents and delivers to warehouse personnel.
• Records or files copy of orders received.
• Follows up on orders to ensure delivery by specified dates.
• Computes price, discount, sales representative's commission, and shipping charges as required.
• Prepares invoices and shipping documents such as export papers, commercial invoices.
• Checks shipping orders to ensure they are accurate with regards to quantity shipped.
• Specifies if special labeling is required for shipment and in some instances supplies to the shipping department.
• Receives and checks customer complaints.
• Confers with production, shipping, warehouse, or common carrier personnel to expedite or trace missing or delayed shipments.
• Compiles statistics and prepares various reports for management.
• Maintains customer name and address data base.
• Creates no charge shippers for customer replacements.
• Investigates and resolves matters of significance on behalf of management.
• Represents the company in handling complaints.
• Supports management with special projects and workflow process improvements and other duties as assigned.

Knowledge, Skills, and Abilities:
• Communicates clearly and concisely in a variety of communication settings and styles. Effectively tailors the message to the needs of the audience.
• Establishes goals and objectives which are specific, measurable, achievable and relevant.
• Lays out work in a well-planned and organized manner.
• Proficient in Microsoft Office.
• Knowledgeable of ERP applications (preferably Oracle).
• Ability to read and interpret documents such as procedure manuals, work instructions, software manuals.
• Ability to write routine reports and correspondence.
• Must have the ability to exercise independent judgment and discretion. Makes non-routine choices within established guidelines, with minimal supervision.

Education and Experience:
• High school diploma or general education degree (GED) required.
• Associates degree preferred.
• Five or more years of experience supporting a team, demonstrating business acumen and customer focus.
• Activated Carbon experience or chemicals background preferred.

Physical Requirements:
• Typically sits or stands for extended amount of time in front of a computer.
• As needed, lifts, carries or otherwise moves and positions objects weighing up to 55 pounds.
• May be required to move about to coordinate work.
• Ability to communicate or exchange ideas by means of verbal or written word to impart information to clients or to the public and to convey detailed instructions to other workers.
• Work may require occasional weekend and/or evening work.
• Must be able to travel as needed.
